How to Plan a Custom Balloon Installation: A Step-by-Step Guide

From your first Pinterest board to teardown night — exactly how a custom install comes together in Pittsburgh, and how to land in the right budget lane.

A custom balloon install is the moment your guests walk in and go "wait — you did this?" But behind every jaw-drop wall is a surprisingly simple process. Here's exactly how it works, start to finish, so you know what to expect before you ever send us a message.

We'll also help you figure out which of our three lanes fits your day — because not every celebration needs a full production, and that's completely okay.

Before You Reach Out

A little prep makes your quote faster and your install better. Three things to have ready:

STEP 1 Lock Your Date & Venue

Pittsburgh weekends book fast in spring and summer. Even a tentative date and the venue's name lets us check availability and flag anything about the space — ceiling height, load-in, power — that shapes the design.

STEP 2 Gather A Little Inspo

You don't need a full mood board. One or two photos, a Pinterest link, or even "dusty pink and cream, kind of boho" gives us plenty to start. We build everything custom, so your references guide us — they don't box us in.

STEP 3 Set A Rough Budget

Knowing your range up front saves everyone time. As a guide: Grab & Go pickup pieces start at $295, a delivered-and-installed Full Installation begins at an $800 minimum, and full Event Planning starts around $1,500.

Designing Your Install

STEP 4 Pick Your Hero Piece

Every install has one showpiece that anchors the room — the spot the cake, the toast and every photo happen in front of. Usually that's a balloon wall, an organic arch, or a light-up number marquee.

STEP 5 Choose A Palette, Not A Theme

Themes date quickly; colors photograph beautifully forever. Pick two or three shades and we'll carry them across the balloons, florals and table. Every piece is hand-built in your exact palette — nothing looks off-the-shelf.

STEP 6 Decide How Hands-On You Want To Be

Some clients love the styling; others just want to show up. Tell us which, and we'll point you to the right lane — DIY pickup, we-install-it-for-you, or we-run-the-whole-day.

STEP 7 We Deliver, Install & Tear Down

For a Full Installation, a two-person team arrives with everything pre-inflated — no mess, no space taken up at your venue. We build it, style it, and come back to tear it all down. You never touch a balloon.

Tips That Actually Work

Book earlier than feels necessary. The best dates go first, and early booking gives us time to build something truly custom.

Send your venue's photos. A shot of the wall or corner you're eyeing helps us scale the piece perfectly.

Trust the palette. Two or three colors always reads more elegant than a rainbow.

Ask about pickup. If you're on a budget, a single Grab & Go showpiece from $295 still steals the room.

How far ahead should I book?+

4–6 weeks is ideal for a Full Installation, and sooner for large events or peak weekends. That said — always ask. We can sometimes work magic on shorter notice.

What's the minimum to have you install?+

Our installation minimum is $800, which covers custom design, delivery, setup and teardown. Want to spend less? A Grab & Go pickup piece starts at $295.

Can you match my exact colors?+

Yes — every piece is hand-built in your palette. Send a swatch, a photo, or a color name and we'll match it.

Do you tear it down too?+

With a Full Installation, yes. We deliver, build, and come back to remove everything. You never handle cleanup.

What areas do you serve?+

Pittsburgh and the surrounding area. Ask us about travel for events a little further out.
